The standard program lasts 13 weeks and consists of fixed components that reinforce each other. All activities are scalable and can be performed virtually, making the program suitable for organizations of any size.

1. Kickoff: Inspiring and creating support

We start with an inspiring kickoff for all stakeholders and users. This clarifies what will happen, why AI/Microsoft Copilot is important, and what the program will look like. Through demos and department-specific scenarios, we showcase the possibilities of AI/Microsoft Copilot. During an interactive presentation, employees are intrinsically motivated (Awareness).

2. Training: Building skills

 

In a series of training sessions, employees learn to work with AI and Microsoft Copilot step-by-step. The process starts with the basics of "Working Smarter with AI" and then builds up to more advanced topics, such as "Creating Effective Prompts" and "Creating Agents in Copilot Studio." During accessible Office Hours, users can ask questions and share experiences. Each session has a central theme, such as ethics, smart prompts, or AI bias. Trainers share best practices and success stories, while interactive quizzes help to anchor the knowledge gained.

 

 

4. Best Practices Hub: Community and reference material

 

A central Teams site is set up where employees share tips, successes, and example prompts. This includes a prompt library, a forum for questions, and success stories from within the organization. This encourages peer learning and provides a lasting reference, even after the program has concluded.

 

5. Champions Program: Internal ambassadors

Intrinsically motivated employees who act as the first point of contact (champions) become ambassadors. They receive additional in-depth training and coaching, support colleagues, and keep the adoption alive after the process is complete.

6. Communication & change management

Clear communication is crucial. We develop a communication plan that covers the entire adoption period: from announcement to updates and conclusion. The messages are transparent (why AI/Microsoft Copilot, what are the benefits) and focused on engagement (celebrating successes, asking for feedback).

7. Monitoring & reporting

Progress is measured, and feedback is provided to the client. Through the Copilot dashboard and surveys, we monitor the activation rate, frequency of use, and feedback. Interim reports make the impact visible and allow for adjustments.

8. Evaluation & embedding

Every two weeks, an evaluation is held with the client, and we adjust the plan where necessary. At the end of the process, a final evaluation takes place: have the objectives been achieved?
